Key Responsibilities

3PL Daily Operations Management

  • Oversee daily operational activities with existing 3PL partners to ensure timely and accurate order processing, shipment execution, and inventory handling.
  • Serve as the primary point of contact for operational topics and escalations related to current 3PL operations (e.g., product integrity, regulatory / quality compliance, inventory and distribution).
  • Monitor inbound and outbound flows, order status, stock movements, and issue resolution to ensure continuity of supply.

Order Fulfillment and Operational Execution

  • Coordinate end-to-end operational execution from order receipt through delivery in collaboration with internal and external stakeholders.
  • Support order-to-cash activities by ensuring accurate transactional flow, timely invoicing inputs, and effective issue resolution.
  • Partner with customer service and commercial teams to address service-related issues and support customer requirements.

Cross-functional Coordination with Quality and Finance

  • Work closely with Quality on deviations, temperature excursions, CAPAs, complaints, returns, change controls, and GDP-related operational topics.
  • Coordinate with Finance on invoicing accuracy, credit/debit note issues, inventory reconciliation, charge validation, and cost tracking.
  • Ensure operational alignment between 3PL activities and internal quality and financial controls.

Performance Monitoring and Continuous Improvement

  • Track day-to-day service performance of 3PLs against agreed KPIs such as OTIF, inventory accuracy, order cycle time, and issue resolution.
  • Support regular operational review meetings with 3PLs and prepare performance summaries, action logs, and follow-up items.
  • Identify process improvement opportunities and drive corrective actions to improve efficiency, compliance, and service quality.

Compliance and Documentation

  • Ensure all operational activities are executed in line with GDP requirements, internal procedures, and contractual service expectations.
  • Support audits, inspections, and documentation requests by maintaining operational records and ensuring readiness of 3PL-related data.
  • Maintain operational SOPs, work instructions, and governance documentation relevant to existing 3PL activities.

Launch and Transition Support

  • Provide operational expertise and hands-on support during new market setups, launches, or transitions as needed.
  • Support handover of newly implemented 3PLs into steady-state operations once go-live is completed.

Qualifications and Experience

  • Bachelor’s degree in Supply Chain, Logistics, Business Administration, or a related field.
  • 5-7+ years of experience in logistics, distribution, customer service, or 3PL operations, ideally within the pharmaceutical or healthcare industry.
  • Experience working with third-party logistics providers in a regulated environment.
  • Advanced understanding of GDP requirements and distribution compliance.
  • Experience collaborating cross-functionally with Quality and Finance teams.
  • Languages: Fluent in English and Dutch required, Italian and Spanish preferred
